Office and Finance administrator
Job Title: Office and Finance administrator

Reporting to : Group Managing Director
Location: Isles Hotel Group, Benbecula
Overall Purpose
To provide an efficient and effective office administration and financial control
service to the Isles Hotel Group (Dark Island Hotel, Isle of Benbecula House Hotel
and Borrodale Hotel), reporting to the Group Managing Director and in liaison with
all other business managers.
Challenges
- To meet financial challenges within specified timescales with accurate business information
that can be actioned accordingly.
- To ensure clear and effective information flow across the business to contribute
to timely business decision making.
- To monitor costs across the business, identify variances and react accordingly.
Duties and Responsibilities
- To carry out general administration duties as required across the Isles Hotel group
including responding to e mails and relevant requests from internal and external
bodies.
- To liaise with internal departments accordingly and provide advice and information
where required.
- To ensure that administrative targets are met with accurate and timely information
generated and cascaded throughout the business to the relevant personnel.
- To compile 'month ends', 'credit card reconciliations,, 'cheque payments', 'BACS'
information.
- To ensure that manual and electronic filing systems are organised and kept up to
date in an efficient and effective manner to allow easy access and information retrieval
invoices, cash book, nominal payments, wages, banking book.
- To sort, code and input invoices ensuring payment in an organised and effective manner,
and to be aware of, and react to, all creditors and debtors.
- To gain knowledge of the business payment system for wages to ensure that employees
are paid on time and accurately.
- On a quarterly basis, to compile and provide VAT figures.
- To assist with the annual payroll updates and year end submissions to HMRC.
- To assist with the preparation and reconciliation of year end accounts for the group.
- To provide a personal assistant service to the Group Managing Director and to carry
out any other duties as deemed relevant and necessary to contribute to the effective
running of the business and its relevant departments.
- To resolve any issues and problems in a timely manner, and in liaison with relevant
internal and external bodies.
